What personal data we collect and why we collect it

Contact forms

This site uses contact forms to help users submit questions about the events and clinics hosted by Ontario Veterans Fencing. We collect personal data such as: first and last names, email addresses, phone numbers as a means to identify the person submitting the form, and to contact that person with a response. This information is used solely for the purposes of website administration and no identifying information is shared with any other third party for the purposes of marketing.

All of our forms utilize recaptcha. This is a Google anti-spam tool that we use to ensure that only legitimate users are submitting contact forms. Visit Google Recaptcha to learn more.

It is good practice to avoid submitting highly sensitive content through website contact forms. Please provide only the information required to describe your feedback, or question, to get a helpful response.

Cookies

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select "Remember Me", your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

Your personal information is used for the purposes of replying to inquiries submitted through one of our webforms. No personal information is shared or given to any other third-party company.

How long we retain your data

For users that are registered with the Ontario Fencing Association as Veteran fencers, details about your fencing profile, including age category and province of residence ares stored on our server. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you, including content that was submitted through any of our contact forms. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Emails transactions created through use of our website contact forms or administration system may be logged. This helps us locate and fix bugs that may occur with the email system.

How we protect your data

We place great importance on the security of your personal data. We maintain administrative, technical and physical safeguards designed to protect the personal data we have about you against accidental, unlawful or unauthorized destruction, loss, alteration, access, disclosure or use.

You should bear in mind that submission of information over the internet is never entirely secure. We cannot guarantee the security of information you submit via the site while it is in transit over the internet and any such submission is at your own risk. It is advisable to close your browser when you have finished your user session to help ensure others do not access your personal data if you use a shared computer or a computer in a public place.

We also recommend that users with active accounts use very strong passwords, and update them frequently.
